ITS has an intake process to review IT requests and develop proposals for approved projects.

Process

Initial request

Complete a brief ITS Project Intake form (requires login to ITS Service Portal)

Initial ITS Management Review

ITS management will review the request and assign a liaison. If the project receives initial approval, the liaison will work with the requestor to develop a project proposal document.

If the project does not receive initial approval, the ITS liaison will discuss the reasons with the requestor.

Project Proposal

The ITS liaison and requestor will work collaboratively to develop a project proposal that will include items such as:

  • Project scope

  • Security and accessibility reviews. In many cases this will involve requesting Higher Education Community Vendor Assessment (HECVAT) and Voluntary Product Accessibility Template (VPAT) documents from vendors. These are standard documents that aid in assessing vendor compliance with security and accessibility best practices.

  • Data management plan

  • Integration requirements

  • Timeline

  • Budget requirements and ongoing costs

  • Staffing requirements

Final Approval

When complete, the ITS liaison will submit the project proposal to ITS management for review. The outcome of the review can be:

  • Accept the project, set prioritization, and assign resources.

  • Reject the project. The ITS liaison will communicate the decision to the requestor and discuss why the project was not approved.

  • Defer project to a later time or ask for more research or information.
